Workshops & Special Sessions
Each Workshop and Special Session has a 90-minute slot in the programme.
Please review the guidance below carefully when planning your session, particularly if you intend to use a PowerPoint presentation.
Planning Your Workshop or Special Session
Workshops and Special Sessions should encourage active participation and interaction rather than relying on lengthy presentations.
When planning your session, we recommend:
- Clearly state the aims and objectives of your session.
- Develop a clear structure appropriate for the 90-minute session.
- Encourage a high level of participant interaction.
- Include hands-on activities and practical examples where appropriate.
- Use interactive formats to keep participants engaged.
- Allow sufficient time for facilitated discussion.
- Consider opportunities for networking, introductions and small-group interaction.
If using PowerPoint, we recommend limiting your presentation to no more than 10 slides before beginning the interactive elements of your session.
Preparing Your Slides
When preparing your presentation, please note the following:
- Presentations must be prepared in PowerPoint and should use the provided PowerPoint template.
- Slides must be set to 16:9 widescreen.
- We recommend using fonts included with Office 2016 or later, such as Times New Roman, Arial, Verdana or Tahoma.
- If your presentation contains video, please embed the video directly into your presentation and bring a copy of the video file on a USB drive in .MOV or .MP4 format.
- Your presentation will be displayed in presentation mode on the lectern laptop. If you plan to use notes, we recommend bringing a printed copy, as text may appear small when viewed from the lectern.
Making Your Presentation Accessible
To help make your presentation accessible to everyone, we recommend:
- Use clear, easy-to-read fonts.
- Keep slides simple and avoid unnecessary clutter.
- Use plain language wherever possible.
- Ensure text is large enough to be easily read.
- Use good colour contrast between text and backgrounds.
- Balance images with enough text or explanation to help the audience follow your presentation.
Conflict of Interest
Please disclose all funding sources and any actual or potential conflicts of interest to the audience before beginning your presentation. Your disclosure statement should appear on the second slide of your presentation.
No conflict of interest
“I have no actual or potential conflicts of interest in relation to this presentation.”
No conflict of interest
“I have a [financial interest, arrangement or affiliation] with the following organisation(s) that could be perceived as a direct or indirect conflict of interest in the context or content of this presentation.”
Submitting Your Presentation
Before the Colloquium
A few weeks prior to the Colloquium, you will receive an email containing a link to upload your presentation in advance. Please ensure that your presentation is uploaded by the deadline indicated in the email.
At the Colloquium
If you do not upload your presentation in advance, you must upload it in the Speaker Preview Room at least 2 hours before the start of your session.
If you are presenting in the morning, we recommend visiting the Speaker Preview Room the day before.
Regardless of whether you upload your presentation in advance, we strongly recommend that all presenters visit the Speaker Preview Room at least 2 hours before their session.
This will allow you to:
- Review your slides as they will appear in the presentation room.
- Check that all formatting displays correctly.
- Test videos and animations.
- Make any necessary last-minute updates with assistance from a technician.
All presentations containing videos or animations must be tested in the Speaker Preview Room.
We recommend bringing a copy of your presentation on a USB drive as a backup.
The location and opening hours of the Speaker Preview Room will be shared closer to the Colloquium.
Important: You will not be able to present directly from your own laptop.
